Policies

Every booking starts from a brief — no brief, no quote. Once the scope is clear, you get a written quote setting out the deliverables, timings, usage rights, and price.

A booking is confirmed once the quote is agreed and any deposit (below) has been received. Quotes are held for 30 days from the date issued unless stated otherwise.

Bookings of £750 or more require a 50% deposit to secure the date. The balance is due on delivery of the final work unless we’ve agreed otherwise in writing. Smaller bookings are invoiced on completion.

Invoices are payable within 14 days. Late payment may pause delivery or the release of usage rights until the account is settled.

If you need to move a date, tell us as early as you can and we’ll rebook wherever the diary allows.

Because a confirmed date is held exclusively for you and pre-production begins ahead of the shoot, deposits are non-refundable once a booking is confirmed. Cancellations close to the shoot date (within 7 days) may be charged up to the full fee, as the slot can no longer be re-booked.

Where something genuinely unavoidable happens on either side — illness, or weather that makes a location shoot impossible — we will always look to reschedule rather than charge.

A half day covers up to 4 hours; a full day up to 8 hours. Time beyond the booked hours is agreed on the day and charged pro-rata.

Where a shoot needs location permits, access, parking, or specific talent and styling, responsibility for arranging these is set out in your quote. Travel within London is included; travel and expenses beyond London are agreed in advance.

Turnaround is stated on your quote. Standard delivery is a set of edited images — plus social edits where your package includes them — colour-graded and finished by Roadhouse. Rush delivery, under 48 hours, carries a rush fee.

The edited selection is the deliverable. Raw or unedited files aren’t supplied as standard; if you need them, ask and we’ll quote separately.

Copyright in all photography and video stays with Roadhouse / Nathan Garland, as is standard under UK law. You receive a licence to use the delivered work, and the exact usage — channels, territory, and duration — is stated on every quote.

Standard commercial usage covers your own owned channels — your website and organic social. The territory and licence period are set out on your quote. Paid media and advertising, resale or sub-licensing to third parties, exclusivity, and perpetual licences are quoted separately. Unless we’ve agreed an embargo or NDA, Roadhouse may show the work in its portfolio and marketing — just tell us up front if a project is confidential.

For events and shoots involving other people, you’re responsible for making sure anyone identifiable has agreed to be photographed, and for any model or property releases the work needs. Roadhouse handles the image data it captures in line with our Privacy Policy and UK GDPR.

Roadhouse’s liability in connection with any booking is limited to the total fees paid for that booking, and we aren’t liable for indirect or consequential losses (for example lost profit or opportunity). Nothing here limits liability where the law doesn’t allow it.

These terms are governed by the law of England & Wales, and any disputes fall to the courts of England & Wales.
